Patient calling system for medical and therapy practices

The patient calling system for the phone: wait wherever is comfortable.

Patients check in, hold their phone to the contact point (a small NFC sticker with QR code) and are free to leave the practice – to the café next door or for some fresh air. HelpYa notifies them in time.

Full waiting room

Healthy and sick people sit in a cramped space for hours.

Unclear waiting times

Patients keep asking – and the front desk is constantly interrupted.

No space

At peak times in particular, there are not enough chairs.

Why HelpYa for Medical practice

Smaller waiting room, lower risk of infection – patients wait outside.

1

Lower risk of infection

Patients wait in the fresh air or in a café instead of packed in with other sick people.

2

A smaller waiting room is enough

When fewer people wait inside, fewer seats are needed – space for treatment instead of chairs.

3

A calmer reception

Fewer “How much longer?” questions – the team can focus on reception.

4

Comfort for your patients

Called discreetly, without announcing names. HelpYa knows no health data.

How it works

Calls to the phone instead of a full waiting room. In 5 steps.

Anonymous: no name, no diagnosis, no practice software. No app.

Features for Medical practice

Ready to use immediately

No connection to your practice software needed – a tablet at the front desk is all it takes.

No app, no hardware

Your first NFC contact point is free, plus a tablet or phone you already have – that's all you need.

If no confirmation comes back, HelpYa shows you immediately – then you simply call the number out.

Data-minimal

No names, no phone numbers, servers in Germany.

New at HelpYa

Live waiting time on their phone. Safety included.

New

Live waiting time on their phone

Right after tapping, the patient sees how many people are ahead and roughly how long it will take – always as a range. HelpYa calculates using staffing, time of day and your business’s experience, and learns with every call. An “In 10 min” from your team always takes priority.

New

Silent alarm at reception

If a patient becomes aggressive, three seconds on the tablet’s logo is enough: nothing visible happens in the waiting room, the team and practice management are quietly notified, and on request a security service by SMS too. The emergency number is always one tap away. Included at no extra cost.

Patient calling

How calling to the phone works

After checking in, the patient holds their phone to the contact point at reception or scans the QR code and receives an anonymous queue number. They are then free to leave the practice – to the café, for some fresh air or to go shopping. On the front-desk tablet you see everyone who is waiting. With the advance notice (“it’s your turn in about 15 minutes”) and the actual call, they come back in time.

Unlike a calling system with a screen in the waiting room, patients do not have to stay within sight. This relieves full waiting rooms and creates distance from other sick people.

Privacy

No names, no health data

HelpYa only knows a random queue number – no name, no diagnosis, no appointment. There is no connection to your practice software, and the servers are in Germany. It also means no more calling out names in the waiting room. We provide a data processing agreement.

Frequently asked questions

Quick answers

Is HelpYa connected to the practice software?

No, deliberately not: HelpYa works with anonymous queue numbers and needs no patient data. A connection to practice management systems is conceivable in the future.

What is a patient calling system?

A patient calling system calls waiting patients from the waiting room – traditionally by loudspeaker or screen. HelpYa calls the patient’s phone instead, so they don’t have to stay in the waiting room.

What about patients without a smartphone?

They get a number “without phone” and are called as usual.

Does my customer have to install an app?

No. HelpYa uses features already built into iPhone and Android – holding the phone to the contact point or scanning the QR code is all it takes.

Do I need new hardware?

No. Your first NFC contact point for the counter is free, additional ones at cost price (currently €5 plus VAT). For the overview, an existing tablet or phone with a browser is enough – it is signed in with a single QR scan.

What data does HelpYa store?

No names, no phone numbers – only a random identifier, the number and timestamps. The servers are located in Germany.
