HelpYa

For hospitals: emergency department and outpatient clinics

Fewer questions at the desk. Patients and relatives know where they stand.

In the emergency department, the patient holds their phone to the contact point (a small NFC sticker with QR code) and gets their queue number – no app, no name, no health information. They are called on their phone. If the patient wishes, relatives can see whether they are still waiting or ready to be picked up.

Uncertainty in the waiting area

Anyone who doesn’t know where they stand asks – at the desk, again and again. Long waiting times are considered a common cause of conflict in emergency departments.

The phone never stops ringing

Relatives call to ask whether the patient is still waiting, being treated or ready to be picked up.

Missed their turn

Anyone who steps outside briefly or doesn’t understand the announcement misses their call – and has to be searched for.

Why HelpYa for Hospital

Fewer questions at the desk and on the phone – patients and relatives know where they stand.

1

Relief at the desk

Patients see on their phone that they are registered and will be called – instead of asking again and again.

2

Fewer calls

With the patient’s consent, relatives see the status via a link and don’t need to phone.

3

Calmer waiting areas

Clear information instead of uncertainty, plus the silent alarm for staff – that can ease the pressure in the waiting area.

4

Comfort for patients

A quick trip to the cafeteria without missing the call – with staff approval.

Features for Hospital

What HelpYa brings to the table

Honest, not a countdown

In the emergency department, HelpYa deliberately shows no waiting time and no position: patients are treated by urgency. The phone says so clearly – and asks them to report immediately if their condition gets worse.

Relatives informed without phoning

With the patient’s consent, relatives see only the status via a link: waiting, in treatment, ready to be picked up. No names, no medical information.

Step out with approval

Staff approve, number by number, that the patient may leave the waiting area briefly, for example to go to the cafeteria. Their phone calls them back.

No app, no hardware

Your first NFC contact point is free, plus a tablet or phone you already have – that's all you need.

You see whether the notification arrived

If no confirmation comes back, HelpYa shows you immediately – then you simply call the number out.

Data-minimal

No names, no phone numbers, servers in Germany.

New at HelpYa

Live waiting time on their phone. Safety included.

New

Silent alarm for staff

If things get threatening at reception, three seconds on the tablet’s logo is enough: nothing visible happens in the waiting area, colleagues and management are quietly notified, and on request the security service by text message too. The emergency number is always one tap away. Included at no extra cost.

Emergency

Clear information instead of uncertainty

According to a survey by the Deutsche Krankenhausgesellschaft (German Hospital Federation, 2024), 73% of hospitals report more assaults in their emergency departments; 40% cite long waiting times as a cause. HelpYa can ease the pressure in the waiting area: patients know they are registered and will be called, a busy notice explains longer waiting times, and relatives no longer need to phone.

For staff there is the silent alarm: three seconds on the tablet’s logo, and colleagues are quietly notified – nothing visible happens in the waiting area.

Privacy

Numbers only

HelpYa only knows a random queue number – no names, no health information. Numbers are deleted after 24 hours, and the servers are in Germany. Only the patient can create the link for relatives, with consent, and they can withdraw it at any time.

Frequently asked questions

Quick answers

Does HelpYa do the triage?

No. Triage is always done by your staff. HelpYa only shows numbers and calls them. It is not a medical device and stores no medical information.

Is there an integration with our hospital information system?

No, not at the moment. HelpYa runs independently in the browser – on existing tablets, PCs and on the screen in the waiting area.

Do relatives get a text message?

No. The patient shares a link if they wish; through it, relatives receive the status and, if they wish, notifications in the browser. The patient can withdraw the link at any time, and it expires after 24 hours.

Does it also work in outpatient clinics?

Yes. In waiting areas with a set order – blood tests, radiology, admissions – HelpYa works as in a medical practice, with live waiting time on the phone. Each waiting area is a separate location.

Does my customer have to install an app?

No. HelpYa uses features already built into iPhone and Android – holding the phone to the contact point or scanning the QR code is all it takes.

Do I need new hardware?

No. Your first NFC contact point for the counter is free, additional ones at cost price (currently €5 plus VAT). For the overview, an existing tablet or phone with a browser is enough – it is signed in with a single QR scan.

What data does HelpYa store?

No names, no phone numbers – only a random identifier, the number and timestamps. The servers are located in Germany.
